Your documents — what we need, and when
Send everything you can at once. Nothing is locked behind any single document, and the sooner the full set is with us, the sooner your file moves.
The one rule that saves the most time
Do not wait Send everything together — do not send one document and wait for it to be reviewed
before sending the next. Our admissions team reviews the full set as a batch. Nothing
is held behind the passport, or behind any other single item. Sending them one at a time is the
most common reason a file takes weeks instead of days.

These are the ones we need from you to begin. All of them are things you already have or can
obtain at home.
1 Signed Application for Admission — QA FORM-001
Download it from your personal upload page, sign it, upload it back.
2 Education credential
High school diploma or transcript. If the original is not in English,
send an English translation with it.
3 ID photographs — 2×2 and 1×1, white background
A phone photo against a plain wall is usually fine.
4 CAAP Form 541 — Application for Airman Personal Licence
5 Passport copy — international students
The data page is enough.
Later, with our help at each step
You do not chase these alone, and most of them cannot be started until you arrive.
· Home-country police clearance
English-translated if the original is not in English.
· NBI clearance
Obtained in the Philippines after you arrive.
· Special Study Permit (SSP)
Arranged by our Liaison Officer with the Bureau of Immigration once you are
here. There is no student visa for flight training in the Philippines — you
enter as a tourist and the SSP is what legally covers your training.
· CAAP Class 1 Medical Certificate
Issued by a CAAP-accredited examiner in the Philippines — a
medical done at home under another authority cannot be substituted. It comes
after your PEL number is issued, not before.
· Student Pilot Licence (SPL)
The last link in the chain, and what allows you to fly solo.

Enrolment + NBI + Form 541→ PEL number→ Class 1 Medical→ Student Pilot Licence
The SSP runs in parallel from the day you arrive — it does not wait for the chain

About your passport
Usually not the problem people fear
Aim for as much remaining validity as you can, but do not assume a passport close to expiry
stops you — around fifteen months of remaining validity is workable, and a passport can be
renewed from abroad, including through your embassy or consulate here in the Philippines. If
yours contains a visa you still need, say so and our Liaison Officer will guide you. Ask us
before you conclude it is a barrier.
Where to upload
Every applicant gets a personal secure upload page — your own link, sent to
you by email. It lists exactly which documents your programme requires, with a short note
under each one explaining what it is and how to obtain it. Items we handle internally are marked
so you know not to chase them.
Please do not send documents as email attachments. They are harder to track and
easier to lose than the upload page.

One thing about the order of admission
We screen documents before the interview, not after. The sequence is: documents
submitted → screening → aptitude assessment → interview with our Head of Training → acceptance.
So the documents you send now are what move you forward — they are not paperwork collected
afterwards to confirm a decision already made.
